Service co-ordinator

The E5 Baby and Children Bank is recruiting a paid Service Co-ordinator to work with the families who are referred to us and co-ordinate our volunteers (as part of our core team) to make sure we have what we need for the families who rely on us​.

Role details

Hours: 15 to 20 hours per week (Wednesday and Friday as core days, the rest of the hours at a time which suits you)
Salary: £15 per hour 
Annual leave: 25 days per year (pro-rata)
Location: Our primary site is Clapton Community 7th Day Adventist Church, 26 Chelmer Road, E9 6AY. There may be travel to our storage premises; Arch 411, Cremer Street, E2 8HD. Travel expenses to be pre-agreed and paid.

About our work

Our work began in June 2020, providing families in Hackney and surrounding areas with clean clothes, toys, nappies, and other essential items. It was all sourced from the kindness of our community. We're a friendly, non-discriminatory service to all families who need us. 

Until now everything has been done by volunteers. But demand for what we do is growing every week. We need a dedicated, compassionate coordinator to help us extend our service and meet the needs of families accessing the baby bank quickly, professionally, and safely. This new role will report directly to the charity trustees, work alongside the charity founder - and will join a team of talented and capable volunteers.  

What you’ll do in the role

1. Managing referrals to E5 Baby Bank: Meeting the essential needs of families  

  • Taking incoming calls from referral partners and the families we work with - showing professionalism and warmth

  • Working with volunteers to ensure that the items families need are ready to be collected or delivered

  • Contacting other groups for support

  • Greeting families when they arrive at our venues and ensuring they get what they need 

  • Maintaining excellent relationships with our referral partners

2. Managing stocks and donations of goods: Ensuring we’re ready to meet the needs of families

  • Working with our core group of volunteers to oversee the coordination and processing of donations, maintaining high quality and fast turnaround

  • Helping to manage stock control - having an understanding of what stock we hold and ensuring requests are put out in a timely way to our supporters via our weekly wishlist (working with our social media volunteer team)

  • Working with the volunteer drivers and cyclists to make sure deliveries get out on time to the right place


3. Co-ordinating and supporting volunteers: Mobilising many hands to reach more families 

  • Co-ordinating our volunteer rota 

  • Supporting and motivating volunteers  

  • Organising, and at times delivering, training for volunteers

  • Ensuring volunteer health and safety is met and that service user safeguarding is maintained


Who we’re looking for

  • You speak and write good English. 

  • You are passionate about supporting families - and will work with us to respond fast when we need to

  • You are committed to diversity and inclusion - and can offer a non-judgemental perspective

  • You’re very well organised and know how to prioritise  

  • You’re good at working with a wide range of people from different backgrounds

  • You can think creatively and problem solve independently.

  • You’re willing to follow our policies on health and safety, child and adult safeguarding, DBS checks and data protection

  • Your skills and experience  

  • You have experience of communicating well with volunteers and empowering them

  • You understand safeguarding issues, policies and processes - you can keep E5 Baby Bank a safe place for all

  • You have some familiarity with local agencies and community groups who support families and children.  

  • You’ve worked in the public sector as a midwife, health visitor, teacher or social worker - or you’ve worked closely with these people

  • You’re comfortable using databases and spreadsheets to record the Baby Bank’s activity - and to work out what stock we’ll need from our referrals data

  • You know about data protection 

  • You can work flexibly (always a discussion) to meet the needs of the service
